Data & Privacy Policy

Last updated March 2026

The short version

We never sell your personal data. We never share identifiable information with third parties for marketing. On standard plans, anonymized and aggregated behavioral data (not your name, email, or identity documents) may be used to improve our platform. On the Pro plan, even that is off — your data is fully private and excluded from all aggregation.

What data we collect

VaultBridgeFO collects the information you provide when creating an account and filling out your financial profile — including name, email, occupation, employer, address, and optionally sensitive fields like Social Security numbers, dates of birth, and EINs.

We also collect usage data: which document categories you upload to, how you interact with the platform, and the structure of your financial situation (e.g. whether you have a business, real estate holdings, or dependents).

How we protect sensitive data

Certain fields are encrypted at rest using AES-256-GCM for all users on all plans, with no exceptions:

  • Social Security Numbers (SSN) and Individual Taxpayer Identification Numbers (ITIN)
  • Dates of birth — yours, your spouse's, and your dependents'
  • Employer Identification Numbers (EIN)
  • Driver's license numbers and related identity document fields
  • Bank routing and account numbers
  • IRS IP PINs and self-select PINs

These fields are decrypted only in memory when you or your authorized advisor accesses them. They are never stored in plaintext and are never included in any aggregation or modeling pipeline.

How we use data on standard plans

On Trial, Starter, and Growth plans, we may use anonymized and aggregated data to:

  • Improve the platform's features and recommendations
  • Develop financial behavior models (e.g. what document types clients in a certain occupation tend to need)
  • Generate benchmarks and insights for financial professionals

What "anonymized and aggregated" means in practice: before any data is used for modeling, all direct identifiers are stripped — your name, email address, SSN, DOB, and any encrypted fields are excluded entirely. What remains is behavioral and categorical data: occupation type, whether you own a business, geographic region, document categories used, etc.

We do not sell this data to third parties. We do not share it with advertisers. It is used internally to make VaultBridgeFO better.

Pro plan: full Privacy Mode

Available on the Pro plan

Privacy Mode encrypts all remaining profile fields — including phone, address, occupation, and employer — and permanently excludes your account from every aggregation and modeling pipeline. Your data is yours, full stop.

When Privacy Mode is active, the following additional fields are encrypted at rest and excluded from all internal analysis:

  • Phone number
  • Street address, city, state, ZIP
  • Occupation and employer (yours and your spouse's)

Data sharing

We share your data with third parties only in these limited circumstances:

  • Your authorized advisors — professionals you invite to your vault, subject to the category permissions you set
  • Cloudflare — infrastructure provider for hosting, database, and file storage
  • Resend — transactional email delivery only (no marketing use)
  • Stripe — payment processing; they receive only what's necessary to process your subscription
  • Legal requirement — if required by law or court order

Your rights

You can at any time:

  • Export or review the data in your profile from your dashboard
  • Delete your account and all associated data permanently (Settings → Danger Zone)
  • Upgrade to Pro to enable full Privacy Mode
  • Revoke a professional's access to your vault at any time
